Workflow Automation

Custom AI automations built on your cleaned data. Not chatbot wrappers — production workflows that replace hours of manual work.

What it is

AI that does the work, not AI that talks about the work.

Most "AI automation" products are wrappers around ChatGPT with a form on top. They work in demos and break the moment real data hits them.

Workflow Automation is different. We build custom workflows for the specific tasks your team does repeatedly — submission intake, document review, complaint triage, regulatory reporting — using your cleaned data, your tools, and your business rules. Built around what you actually do, not around what the AI happens to be good at.

Fixed-price, one-time builds. Each workflow is scoped, validated, and handed over with documentation.

What's included

Workflow design

We map the current process, identify the right intervention points, and design the automation around your team — not the other way around.

Custom build

Built on Claude, GPT, or open-source models depending on the task. Integrated with your existing systems (CRM, AMS, QMS, DMS, whatever you run).

Confidence scoring and human-in-the-loop

Every consequential output is scored. Anything below threshold routes to a human reviewer. No silent failures.

Validation evidence

Test data, accuracy metrics, edge case documentation. Built to pass internal audit and external examination.

Handover and training

Your team learns to operate the workflow. Documentation covers normal operation, exception handling, and basic troubleshooting.

Workflows we've built before.

Document processing

Submission intake, complaint classification, contract review, FNOL triage. Anything where structured information lives inside unstructured documents.

Compliance automation

Marketing review, KYC refresh, adverse event triage, audit trail assembly, regulatory filing prep.

Operations workflows

Renewal cycles, intake forms, reporting assembly, exception monitoring, cross-system data sync.

Four to ten weeks. One workflow at a time.

Week 1 — Scoping

We pick the highest-value workflow, agree on success metrics, and lock the scope.

Weeks 2-6 — Build

Iterative development with weekly demos. You see real outputs on your real data throughout.

Weeks 7-8 — Validation

Accuracy testing, edge case review, documentation.

Weeks 9-10 — Handover and training

Your team operates the workflow. We sit alongside until it's stable.

Fixed-price builds from $10k

Most engagements include one workflow. If you need multiple, we scope them sequentially or as a multi-workflow program.

Single workflow

Includes one process plus light integration.

From $10,000 - $15,000

Standard workflow

Includes one process plus full system integration.

From $15,000 - $25,000

Complex workflow

Includes multi-step, multi-system and validation-heavy integrations.

From $25,000 - $50,000

Common questions about Workflow Automation.

Do we need Data Foundation first?

Usually yes. Sometimes no. If your data is already structured and accessible, we skip straight here. We'll tell you honestly in discovery.

Will this replace our team?

No. It shifts their work from doing the task to reviewing and exception-handling. Most clients reallocate hours to higher-value work, not headcount.

What about hallucinations and accuracy?

Every workflow has confidence scoring and human-in-the-loop for consequential outputs. We won't ship anything that can't be measured for accuracy.

Can you integrate with [our system]?

Almost certainly. We work with most modern CRMs, AMS, DMS, QMS, and ERP systems. If it has an API or exposes data in any standard way, we can integrate.

What if our process changes?

Workflows evolve. Small changes are part of Managed Operations. Major redesigns are scoped as new builds.

What comes next.

Most clients pair Workflow Automation with Managed AI Operations from the start — building something complex and not maintaining it is how most AI projects break within six months.
